Moving email from our servers to Gmail is a fairly common practice. Doing so requires some technical knowledge and should be done by a professional. While we cannot do this for you, we can recommend a professional service that can do this for your organization.

Here’s an overview of the procedure for moving email accounts from a cPanel server to Gmail, including the necessary DNS changes:

  1. Preparation:
    • Create Gmail accounts for each email address you’re migrating
    • Enable IMAP in Gmail settings
  2. Data Migration:
    • Use an email migration tool (e.g., Google’s Data Migration Service)
    • Or set up each Gmail account to fetch emails via POP3 from the cPanel server
  3. DNS Changes:
    • Update MX (Mail Exchanger) records to point to Gmail servers
    • Typically, set primary MX record to “aspmx.l.google.com” with priority 1
    • Add secondary MX records as per Google’s recommendations
  4. Additional DNS Records:
    • Add SPF (Sender Policy Framework) record
    • Set up DKIM (DomainKeys Identified Mail)
    • Implement DMARC (Domain-based Message Authentication, Reporting, and Conformance)
  5. Testing:
    • Verify DNS propagation (may take up to 48 hours)
    • Test sending and receiving emails through the new Gmail accounts
